1. Who FoundBookings is and what the platform does
FoundBookings provides software tools for providers to manage companies, locations, staff, services, bookings, products, stock, coupons, gift cards, loyalty, reviews, customer messages, QR/add-code access, Stripe Connect payout readiness, and subscription-plan access.
The web dashboard is for provider operations. The mobile app is for customers who save providers, save services, book appointment services, pay deposits or full amounts where available, use eligible coupons, gift cards or loyalty points, message providers, submit reviews, manage payment methods, and request account deletion.
FoundBookings is a platform and technology provider. FoundBookings does not provide provider services, control provider service delivery, or give legal, tax, accounting, insurance, employment, financial, or other professional advice.
2. Provider account and authorised users
Providers are responsible for their company account, authorised owners, managers, staff users, login credentials, roles, permissions, and all activity carried out through the dashboard by their authorised users.
Providers must make sure only appropriate personnel are given access and that departing staff or unauthorised users are removed promptly. Providers should use accurate account details and keep contact information current.
3. Company, location, staff, service, product, price and policy accuracy
Providers are responsible for keeping company profiles, location details, contact details, service descriptions, staff assignments, prices, deposits, durations, availability, products, product stock, coupons, gift cards, loyalty settings, customer policies, and customer-facing notices accurate and up to date.
Provider listings and policies must not mislead customers. Providers should only publish services, products, credentials, staff profiles, locations, and claims that they can lawfully and practically support.
4. Provider responsibility for service delivery and customer relationship
The provider shown in the booking, location, checkout, or customer communication is responsible for delivering the service, managing staff availability, handling customer communications, setting customer policies, and meeting applicable consumer-law obligations.
Providers remain responsible for cancellations, no-shows, refunds, service disputes, service quality, product fulfilment at the relevant location, taxes, licences, insurance, health and safety, staff permissions, and all other obligations connected with their own business, subject to applicable law.
FoundBookings provides booking and payment tooling. FoundBookings does not replace the provider's customer-care duties or decide the provider's service standards.
5. Booking management, staff scheduling, and checkout
Providers use FoundBookings to configure services, staff assignments, staff shifts, available times, booking records, customer notes, messages, and checkout records. Providers must ensure staff schedules and service settings are accurate before customers book.
FoundBookings may support manual/offline checkout workflows for provider-managed payment handling and Stripe card checkout workflows where online card payments are enabled. Providers are responsible for using the checkout mode that matches the transaction and for recording provider-controlled information accurately.
Stripe card checkout depends on payment and payout readiness, including Stripe Connect requirements for the relevant location. Providers must not represent a booking or payment as confirmed unless the relevant dashboard or customer-facing flow shows that status.
6. Reviews, messages, content, moderation, and abuse
Providers may create or receive content through listings, customer messages, notes, reviews, replies, products, policies, support requests, and complaint workflows. Providers must not submit or encourage unlawful, abusive, misleading, infringing, fake, discriminatory, unsafe, harassing, threatening, or spam content.
FoundBookings may review, hide, restrict, remove, or moderate content or listings where needed for platform safety, legal compliance, customer trust, fraud prevention, dispute handling, or operational integrity. Review moderation does not make FoundBookings responsible for provider service delivery.
7. Products and location-only fulfilment
Products are location-scoped provider items. A product listed for one provider location is not automatically available at another location or company. Providers remain responsible for product descriptions, prices, stock, tax treatment, safety, availability, refund handling, and fulfilment at the location shown.
The Product-at-location-only Policy explains the location-scoped model. Mobile checkout currently supports appointment services only; products are not included in mobile service bookings or payments unless a future checkout summary expressly supports them.
8. Subscription access and plan restrictions
Provider dashboard access may depend on subscription status, plan limits, and feature availability. The Subscription Plan Terms explain trialing access, active access, restricted statuses, upgrade/contact flows, and features that may be unavailable under a plan.
Providers should not rely on a feature, limit, add-on, or billing path unless it is implemented and enabled in the product and reflected in the applicable plan information.
9. Stripe Connect and payout readiness
Online card payments and payouts require Stripe Connect readiness for the relevant location. The Stripe Connect Terms explain onboarding, connected-account responsibilities, Stripe terms, location-level payout status, refunds, disputes, transfers, reversals, and payment-data handling.
FoundBookings may restrict paid bookings or checkout actions where Stripe Connect onboarding, payout readiness, compliance status, account capability, or payment processing readiness is incomplete or fails.
10. Data protection and DPA
Providers are responsible for their own customer, staff, and business data obligations. Where FoundBookings processes provider-controlled customer data to provide the platform, the Data Processing Addendum explains the beta controller/processor relationship, processing instructions, subprocessors, security, international transfer, assistance, deletion, and audit terms.
FoundBookings may also process some data as an independent controller for its own account, security, billing, legal, analytics, support, and platform operations. The Provider Privacy Notice explains provider-user privacy handling.
Providers must not request unnecessary sensitive or special-category data through marketing, campaign, or reward forms unless they have a lawful basis, appropriate notices, and any required consents or safeguards.
11. Security, credentials, and acceptable use
- Protect account credentials, devices, authentication flows, and staff access.
- Do not misuse the platform, scrape data, bypass access controls, interfere with security, upload malware, attempt unauthorised access, or use FoundBookings for unlawful activity.
- Do not use the platform to mislead customers, avoid required payment or checkout flows, impersonate another business, or publish unsafe or infringing content.
- Report suspected account compromise, privacy incidents, payment issues, or security concerns promptly through the available support or complaint channels.
12. Suspension, restriction, termination, and platform changes
FoundBookings may suspend, restrict, or terminate access where reasonably needed for security, legal compliance, non-payment or restricted subscription status, missing legal acceptance, failed Stripe Connect readiness, abuse, fraud prevention, technical integrity, or breach of applicable terms.
FoundBookings may update, improve, remove, suspend, or change platform features where needed for security, reliability, legal compliance, product operation, misuse prevention, or planned product development. FoundBookings does not guarantee uninterrupted availability or that the platform will generate bookings, revenue, rankings, reviews, or customer demand.
13. Support and business complaints
Providers can use the business complaint process for account, subscription, Stripe Connect, payout, booking-payment, privacy, legal/policy, platform bug, safety/abuse, and other platform-related concerns. Complaint handling does not override applicable law, Stripe rules, provider-customer obligations, or payment network requirements.
FoundBookings may ask providers for additional information and may record provider-visible updates and internal admin notes as explained in the Business Complaint Policy.
14. Liability, statutory rights, and indemnity
Nothing in these beta terms excludes or limits liability where it cannot lawfully be excluded or limited, including non-excludable statutory rights and liability for fraud or fraudulent misrepresentation.
FoundBookings is not responsible for provider-controlled service delivery, provider listings, provider products, provider customer policies, provider tax or regulatory obligations, customer no-shows, provider staff conduct, provider misuse, or disputes arising from provider-controlled business operations, except where responsibility cannot be excluded under applicable law or the issue is caused by FoundBookings' own breach or unlawful conduct.
Providers agree to indemnify FoundBookings for losses, claims, regulatory action, chargebacks, disputes, or liabilities arising from provider-controlled listings, services, products, customer obligations, staff conduct, unlawful content, inaccurate information, or breach of these terms, except to the extent caused by FoundBookings' own breach or unlawful conduct.
15. Changes to terms, governing law, jurisdiction, and contact
FoundBookings may update beta or production terms over time. Provider legal acceptance records are tied to document versions, so a material version change may require providers to accept the current version before continuing to use gated provider features.
Governing law and jurisdiction provisions may be updated before production finalization after qualified legal review.
